Why switching ESPs/CRM might be a good idea
- You may want to switch your current CRM for another one for any, but not limited to the following reasons:
- You are going to be moving the whole company/system to a new software. If all your new leads are going to be showing up in the new CRM then you will need to connect that in SegMetrics for accurate future data.
- You have multiple email marketing and/or CRM tools and weren’t sure which one to use. The tool you want to connect is the one that is the best single source of truth. Whichever one has the most contacts currently and moving forward.
- The new software has pipeline info/data and the old CRM did not. Not every CRM has pipeline data. If you recently began using one that does, we can bring that insight into SegMetrics so it makes sense to connect that as your SegMetrics CRM.
- You connected the wrong one. Life is confusing, you may have multiple CRMs and multiple Email Marketing. You connected the one you had access to but now need to switch to a better source of truth. It happens, no judgement.
What to do before swapping ESPs/CRMs
- There are a few things you want to have in place before you request a CRM switch in SegMetrics. The two most important are contacts and tags (if applicable)
- Will all the contacts in the old crm, or be in the new crm?
- Will the new crm be handling revenue tracking (if applicable)?
- Will the tags / lists be moved over to the new crm?
- Keep in mind tags application date will be the new date it was applied in the new CRM
- Do you want to keep the old/original contact created date? When you import the new contacts to the new CRM the contact created date for ALL of those historical contacts will change to the date of that import. This will massively affect reporting for any previous date range in SegMetrics.
- If you do want to keep the old contact created date, you will have to create a custom contact attribute field and let us know what it is. We recommend something like: Date Created: (insert old date)
- Once you have everything above arranged, reach out to SegMetrics support help@segmetrics.io and let them know you are requesting a CRM swap.
- What to do after swapping CRMs
- After you’ve contacted SegMetrics Support and all of the above steps have been addressed, our devs will work on switching over your old click data from the previous CRM to the new one. This ensures all of your historical clicks are not lost.
- Once you have been notified the swap was complete, go and look at your contacts from the previous 30 days to ensure they still have their click data as well as the correct contact created date. If that lines up then you are all set!
FAQ / Gotchas:
Q: Why can’t I have more than one CRM connected at a time?
A: This is a feature we are currency working on. At this time there are so many complexities involved with the tracking pixel and its connection to the contacts and their connection to one CRM that we only allow one CRM at a time.
Q: Should I do anything special with the old contacts I am transferring from one CRM to the other?
A: This is up to you but we do have a suggestion. Create a tag or a custom contact field that is unique to the “old” contacts from the previous CRM. In the future if there are any issues or you want to segment leads/customers from the old CRM vs the new CRM it will be incredible simple to do.
